“With Visma Net we can do a much better job

Kronsteingruppen AS is the largest supplier of construction services and construction products in the region. In such a large company, it is absolutely necessary to have systems that facilitate the future. Both to be able to work in the smartest and most efficient way, and to ensure that cross-collaboration works optimally. Then the facet becomes a cloud-based system.

Cloud-based is the only way to work

The motivation for moving up to the cloud is to bring everything together on one platform, so that all employees throughout the group have a better overview, and with it control over the various work processes. Chief Accounting Officer Kim Vevle talks about the thinking behind the move to the cloud.

“We will bring everything together on one platform and upgrade the systems to be forward-looking. We don't want to sit and work in ancient times. We want systems that make everyday life easier for those who work in it, and that it should be easier in the organization in general,” Kim continues.

At the top of operations controller Katja B. Olsen's wish list was a web-based solution. During her 7 years at Kronsteingruppen, she has known frustration with local servers and citrix solutions, where integrations do not work optimally.

“We need a modern and comprehensive financial solution that could provide better support for the group system and reporting. Before, we had our own servers on which the accounting system was run, but then fewer and fewer systems were run on these. We want to move away from citrix solutions and become web-based,” she says.

Kronsteingruppen has spent a lot of time compiling figures and reports in connection with the annual report. They have obtained figures and information for the entire organization, which have then been stitched together into an overall consolidated financial statement in Excel.

It's way too slow. It is not possible to manage the company where we want with Excel, when we sit and wait for the facet, says Kim.

“It is very clear with the different modules. We get reports out that we can constantly take out and see how it goes. All gathered in one place.

It will run on rails from A to Z. It's about us being able to spend our resources on the right things. That doesn't mean people have to leave, but that we get a much better job done and we can spend time doing what we're good at,” Hansen says.

Visma Net is the new facet

Kim Vevle moved back home to Sortland after 20 years of experiences from other places. He therefore joined Kronsteingruppen in the middle of the transition to Visma Net. He has worked in many different solutions in the past and was prepared for the fact that he would have to familiarize himself with and learn new systems, and change work routines. He had heard some bad feedback about cloud-based solutions in his previous job, and was prepared for the challenge of getting into Visma Net. However, it has exceeded all expectations.

“I am pleasantly surprised by how Visma Net works on a daily basis. We also hope to use the Group module, which will help us to connect and simplify the processes further,” he says.

Kronsteingruppen is still not quite there, but is constantly working on the development of the systems, and is well on its way.

“Today we use a combination of both Excel and the new cloud-based solutions, but we want to get where all the information resides in the systems, so that we can get rid of Excel altogether,” says Kim.

Visma integrations create systems that speak together

Kim works as Chief Accounting Officer for the entire Group and has an important job in providing service to both the subsidiaries and internally where there is a need. He is completely dependent on having a clear overview and control over the financial statements of several companies at once.

Kim finds that finding all the necessary information on a single platform is the biggest advantage of Visma Net. Instead of logging into countless programs to get an overview of the different companies, he can now log into one and the same tool and choose which module to work in.

“I am very much in favor of the fact that the Visma Net world has many systems that are interconnected and that we drop all the external integrations. Everything should work as smoothly and smoothly as possible, and it does now with both Payroll, Expense, Calendar and Smartdok,” says Kim.

General Manager of ByggTeam Hadsel AS Håkon Hanssen works more on a project-based basis and with the planning of new projects, often 1—5 years ahead. For him, it is also absolutely essential to have a clear and good overview. Håkon says that he is very excited about the project overview in Visma Net and the reports he can take out to see how projects are doing at all times.

“It is very clear with the different modules. We get reports out that we can constantly take out and see how it goes. All in one place,” says Håkon.

Lost track of old methods

In the past, Håkon and his team have created invoice bases and forwarded them to the Group before sending out the invoices again. In such a process, it is easy to lose track. Regardless of how closely you sit on your accounts, it's reassuring to be in control of the work processes you're involved in. Cloud-based systems make it easy for those who need insight to get it. Håkon finds that this simplifies everyday life to a great extent.

“Now we have full control and overview ourselves. Once we add a customer, it resides in the contact base. Then we can just extract and copy to a new system. It saves us a lot of time,” says Håkon.

Operations Controller Katja is closely involved in the financial aspects of the contracting companies. She says that the most important thing for her role in the transition phase was that there should be a functioning integration in Visma.

“We use several tools, such as Smartdok and Byggoffice, and it was important for us that working integrations were retained for us within the contracting companies. We have found a sensible boundary between different tools. Once you find something that works, you shouldn't start changing it just to change it,” Katja says.

With more automated processes, it has also simplified large parts of Katja's everyday life.

“The biggest upside for us is the simplification of invoices and the change of bills. Before, these were manual processes, and we had to take care to copy substrates and print substrates from Smartdok and Compello, which were then our processing programs. With Visma we get away from this since everything is inside the systems already. As long as the employees are good at allocating hours and invoicing costs, invoicing is almost in the box, says Katja.

Good help from partner Cloud Connection

Håkon Hanssen has been using Visma since 2021 and was involved in the entire transition process to Visma Net, and experienced the transition as smooth. He and his team also had the opportunity to provide input on what features they needed.

We had a good partner in Joakim from Cloud-verbinding. He has listened to us and adapted the system as best as possible to our company. He is still involved in the development and helps us when we come up with new ideas,” says Håkon.

Håkon has naturally participated in such changes in the past, and thus has some experience with transitions to new systems.

“There are always some who struggle with changing, but most of it is about setting. It also depends on how far away from the accounts you are. It goes without saying that the closer you are to the accounts, the easier it is to learn. If you use the system very little, then logging in can be overwhelming.

“There are a lot of features in that forest there, but it's important to focus only on the trees you're actually going to use.

Katja says that it has been an advantage to bring in one and one company to Visma Net at a time. Both to limit that everything happens at once, but also to ensure that all companies get up to the cloud safe and sound.

Kim and Katja also have a good dialogue with the entire team at Cloud Connection in Bodø, especially Joakim and Berit Anne. They say that at times they feel like they are part of the department.

“The goal is the least possible printing and as many automated solutions as possible,” says Håkon.

Håkon and his team continue to work on further developing the system. He says that the system is built in such a way that they can adapt it as best as possible to their company, when they need it.

“We spent an incredible amount of time printing and needed a system that spoke to the other systems we use. In the past, I received expense reports as a stack of papers to be scanned and typed into excel sheets, but now I can just scan the receipt in the store or at the hotel, and then that job is done,” he says.

Katja now uses Visma Net as a lookup tool in addition to extracting reports that show at all times how they are located and where they experience discrepancies.

“Now we have several reports that have been compiled on one platform. We also have many more opportunities than in the past, and that is certainly an advantage when we have more companies. After all, there must be a reasonable division of labor between the finance department and us who will manage the project. It gives us the flexibility of the system,” says Katja.

It is quite clear that it is the integrations between the various systems that are most important for Kim, Håkon and Katja.
