New ERP system became the solution to an ever full server

MBA switched ERP system from Visma Business to Visma Net. Head of Administration Eva Karoliussen and Project Administrator Ann-Hege Hildal explain why the transition was necessary.

Server failed to deliver

MBA Entrepreneur previously worked with server-based systems and used Visma Business and Visma Payroll.

The need to be more accessible was not compatible with a server that was constantly getting full. They already knew that the project module Project accounting in Visma Net could automate several of their manual tasks. But in order to adopt Project Accounting, they had to go to the cloud. When, in addition, they received the message that Visma Salary was going to be closed down, they wanted to rig themselves for the future that was suddenly here.

“It was challenging with a server that was constantly running full. Those who certify and approve invoices must have the ability to do so quickly and not have to log in to a server, says Head of Administration Eva.

The company already used SmartDok as a timesheet system and OneStop Reporting for reporting, and knew that both of these systems worked well with Visma's systems. The desire was to keep what was already working well, and at the same time equip itself for the future by moving the systems that were still on server to the cloud.


The fact that IT security in the cloud is taken care of on a completely different level was also not to be despised.

“We have had a good dialogue with our partner, Cloud Connection, and constantly received answers to questions that have arisen. We have received a lot of good help from our contact person, and together we have found the best solutions for us,” says project manager Ann-Hege.

One of the things MBAs now save the most time on is the flow of invoices. With established rules and routines, both incoming invoices and invoice flow are much faster, and they can create new suppliers and customers quickly.

The project module has removed a lot of manual work. Previously, a basis had to be made and PDFs forwarded to again fill in information for billing. Now this is something that happens directly from the project module. That has led to less work on construction managers and project managers, allowing them to spend their time on more important tasks and simply build more.

Eva and Ann-Hege say that their ambition is further to set up more rules for more automatic work, which will facilitate further growth. They will create good internal courses so they can streamline multiple tasks even more and remove bottlenecks.

Good advice for changing your ERP system

Eva has four pieces of advice that come in handy if you're going to initiate the change process and transition to a new system.

  • When implementing something new, it is very important that the people who will actually use the system are involved along the way. Management cannot sit in isolation and make all the decisions. For example, we have chosen to involve project and construction managers in the process, so that they have seen the system and had the opportunity to give input. The entire administration has been close all the way.
  • Start thinking about what the transition will entail. It's not just snapping your fingers. Such a transition takes time and involves several phases.
  • Do some thoughts about tidying up ahead of time. What are you going to bring next?
  • Make the transition into something exciting and fun! And remember to give lots of bragging along the way. Then most of it will be fine.
