Saving half a year's work with Visma Net

“It's not our routines that determine how to do things — it's the capabilities of the system that tell us how to do it.

That was the setting of Norges Vel when they chose to switch to the cloud-based ERP system Visma Net. You have to dare to think again. This is stated by Roger Leren, Head of Finance and Administration at Norges Vel.

When one out of three employees in the administration was retiring, Norges Vel had an ambition not to hire a new person. That meant they had to automate even more processes.

“Our attitude when we switched to Visma Net was to think new. It's not our routines that decide how to do things — it's the possibilities in the system that tell us how to do it,” Roger explains.

Automation is the principle of Visma Net. When the data comes in and is sent out electronically, it is not only to save employees time, but also to minimize punch errors and other discrepancies. It's mostly good, but can also be a bit tortuous, we're to believe Roger.

“It can be a bit challenging to correct errors in the system since it's not just about correcting them manually. You need to know where the discrepancy lies, and step back a few steps. That said: Our calculations show that we save about half a year's work working in Visma Net.

“We started by collecting more offers, but quickly realized that the easiest thing was to switch to Visma Net. This was partly because we already used several of the solutions in the Visma Net portfolio. It would also make it easier for the rest of the staff to deal with much of the same, he says.

But most important, according to Roger, is which consultant you choose. It is not Visma, but a Visma certified partner who needs maps, implements and follows up each individual customer.

“The most important thing is good consultants who know their job and who are able to ask the right questions. We chose Abacus IT as our partner, and we have an amazing help in consultant Trine Pettersen. Usually, you face challenges in a transition, but the follow-up from Trine and Abacus IT has been excellent.

Boasting about the payment solution

Norges Vel used to spend a lot of time on payments to Africa, where they do aid work. One of the most surprising things for them is that this runs completely painlessly in Visma Net.

“Payment, but also payment, is clearly the best in the system. Previously, we had the Visma Document Center in Visma Business and it was a nightmare. Now, thankfully, we're letting it go. In fact, we have not put on an awful lot of automation because the supplier invoices are often charged differently from time to time. Still, it works well -- and the flow goes much faster.

— What would you say to other companies or organizations that are considering Visma Net?

First of all, get a consultant who does it right. Forget your old routines, and think new. What can you automate? How can you work differently? Be forward-leaning and accept that things are different in a new system.
