Scanelec provides power rail solutions and offers everything from consulting, engineering and assembly support across borders in the Nordic region. Therefore, they rely on a system that grows with the company and provides overview and control, as well as freeing employees from locally installed servers. Visma Net became the solution.

Natural transition to cloud-based finance

After using Visma Global as an economy system for many years, Scanelec came to a point where the system was no longer rigged for their further development and growth.

This is stated by General Manager Remi Helland.

“Our logistics, with buying and selling in Sweden and Denmark, gives us a rather complicated and demanding logistics. And we handle major projects across countries.

Remi explains that they were standing between making updates in Visma Global or switching to Visma Net.

“At Visma Global, it was both challenging and time-consuming to deliver tax returns for the different countries. In addition, we saw that Visma Net provides better support for SAF-T reporting. With the developments that the public reporting takes, it is nice to work in a system that is always up to date according to the applicable laws and rules.

Remi makes no secret of the fact that times have changed, and with it the way you work.

“We wanted to be freed from the servers and have the flexibility to work directly from the browser. Given how the labour market has developed, it is quite natural that we now need to be able to work from anywhere.

“Now we have moved away from paper-based accounting with invoicing, stamping and copying. Instead, we're left with a large screen that makes it very easy to look forward to snapshots.

Automation contributes to the efficient use of time

Eli Bakken, hired economist at Scanelec, explains that it has been challenging at times to be a small organization in terms of vacation liquidation, illness and home office.

“Now we have easier access to follow up operations, regardless of who is physically present. We drop the paperwork and can work from anywhere. Working in Visma Net is very consistent with what the job market is like — it's not just about the system itself, but about the way we work,” she says.

General Manager Remi Helland agrees, adding that they are increasingly confident about the automation in Visma Net.

“In the start-up phase, of course, we had to get into a lot of new things, and handle and control some things manually. The safer we become on the automatics, the more rules we can set up. Then we can focus more on seeing results, trends and developments. Do we have the right focus? Is there something we should focus more on? , he exemplifies.

In short: Spend less time on input, and more time to follow up on results. Eli elaborates:

“Yes, our goal is to spend as little time as possible on the accounting processes and more time on analysis and development. We are already noticing a difference compared to the past. Now we have moved away from a paper-based accounting with invoicing, stamping and copying. Instead, we sit with a big screen -- and it's very easy to look forward to snapshots,” she says.

“The safer we are on the automation, the more rules we can set up. Then we can focus more on seeing results, trends and developments.

A foundation to build on

Eli explains that Visma Net should not only take care of finances, payroll and reporting. They also depend on the system to provide them with support for good financial project management.

“Our goal is to establish agile and dynamic reports. We are left with the impression that if we are structured to feed the right information into the projects, and the way we label projects and segments, then we will be able to get a better overview in Visma Net than we could in Visma Global.

She is clear that Visma Net requires her to work differently with accounting.

It's not difficult, but different. And a pretty big upheaval for me working in accounting. I don't always dare to “push the button”, but we have very good follow-up from Proplan.

And while not everything is in place yet, Scanelec is confident that they will eventually be able to build on and connect whatever they need. For example, an integration against their CRM system.

“We see Visma Net as a foundation that we can build on.

— Finally, do you have any tips for other CFOs or accountants who are considering upgrading their financial system?

No matter what you buy in the world today, you will face change. And that's what you're going to have to do, regardless of whether you're a private individual or a business. There's no drama -- just a reality that you have to do it. And the most important thing is good preparation and planning. You need good collaborators who map out consequences and challenges together with you,” Eli concludes.
